Three Microsoft 365 Problems Most Caribbean Small Businesses Don't Know They Have

Most small businesses across Trinidad, Barbados, and the wider Caribbean running Microsoft 365 have at least one of these configuration gaps. They're invisible until something breaks.

Most businesses across the Caribbean adopt Microsoft 365 because a vendor recommended it, a staff member set it up, or it came bundled with a device purchase. What almost never happens is a proper configuration review after the initial setup. The result is the same pattern across Trinidad, Barbados, Jamaica, and beyond — a product that works well enough to stay invisible, right up until it doesn’t.

When a small business buys Microsoft 365, someone sets it up, assigns licenses, and moves on. The apps work. Nobody looks at the underlying configuration again.

This works, until a specific thing breaks. And when these things break, the options are narrow because the foundation wasn’t set up to handle it.

Here are three gaps that come up consistently in small business M365 environments. None are visible day to day, which is exactly why they persist.

1. The admin account is also someone’s work account

A properly configured M365 tenant has a dedicated admin account that doesn’t look like a user. It lives at something like admin@yourtenant.onmicrosoft.com, it doesn’t receive email, it doesn’t log into Teams, and it only gets used for administrative tasks.

In most small business setups, the admin account is whoever set up Microsoft 365. It’s their normal work email. It sits in their inbox. It also has global admin access to the entire tenant.

When that account is phished, or the password is reused somewhere and leaked, the attacker has full admin access from the same session they used to get into someone’s email.

The fix is straightforward in terms of steps: create a dedicated cloud-only admin account with a strong password and MFA enforced. Strip global admin from all regular user accounts. Use the dedicated account only for administration. It takes under an hour and dramatically narrows what a compromised user credential can reach.

2. Devices aren’t enrolled in any management system

When a laptop breaks, gets lost, or needs a piece of software deployed, what actually happens?

For most small businesses without a remote management layer: the device comes in physically, or someone coaches the user through it over a call, or it waits until someone can get to it. For a remote worker or a device in another country, that wait can be long.

Microsoft Intune gives you remote PowerShell execution, software deployment, compliance monitoring, and full device wipe from the admin portal. None of it requires physical access.

The thing most businesses miss: a device has to be enrolled in Intune before you need remote access to it. You cannot remotely enroll a device. This is a preparation problem, not a response problem.

For any business with staff working remotely or in multiple locations, getting devices into Intune before something goes wrong is worth the setup time. The licenses are almost certainly already included in whatever M365 plan you’re on.

3. The licensing structure is paying for things nobody uses

M365 licensing is designed to be confusing. Most small businesses end up with licenses that loosely fit but aren’t structured correctly.

The most common version: a global admin account holding a fully paid Business Premium or Business Standard license that the admin account never actually uses for email, Teams, or any productivity application. The license is there because the tenancy was set up that way. Admin roles are controlled through Azure AD permissions, not through whether a seat is paid. The admin account doesn’t need a productivitiy license at all.

Separately: users end up on Business Premium when Business Standard would cover their actual usage, because the person who set up the tenancy picked the higher tier as a safe choice.

A proper audit of what’s assigned versus what’s actively used usually surfaces 2 to 4 misallocated seats per 20 users. For a 20-person company on Business Premium at current pricing, that can be $400 or more per year sitting unneeded.

Why these persist

All three are invisible until there’s a specific incident: an account compromise, a remote access emergency, a billing review someone finally does. By that point, you’re addressing the problem under pressure.

The work to fix all three is a half-day at most for a typical small business environment. For businesses in the Caribbean running M365 without a dedicated IT function, this kind of review once a year is worth doing. Not because catastrophe is imminent, but because the cost of fixing it reactively is always higher than doing it right beforehand.
